Position Title: Payroll Coordinator

General Description: The Payroll Coordinator will perform a wide range of tasks to ensure accurate and timely payroll processing, while maintaining compliance with applicable laws and regulations. The Payroll Coordinator will ensure weekly and special payrolls are processed accurately, including accurate calculations of employee’s salary increases, hours worked, leave taken, taxes, longevity pay, insurance, retirement program contributions and union dues. The Payroll Coordinator will also serve as the point-person for payroll related questions from employees.  In addition, the Payroll Coordinator will create payroll reports, process quarterly tax returns, generate year-end tax reports (W-2s) and conduct annual reconciliations for pension contributions. The Payroll Coordinator must be comfortable working in and troubleshooting payroll-related software.

Salary/Status: Non-Exempt

Minimum Requirements Skills and Knowledge:

  1. Associate degree in accounting, finance, or a related field.; equivalent work experience of two or more years;
  2. Experience in payroll administration.
  3. Good working knowledge of accounting practices and tax laws.
  4. Must be able to interact and communicate with individuals at all levels of the organization. In addition, able to demonstrate poise, tactfulness, and diplomacy, and have a high level of interpersonal skills in order to handle sensitive and confidential situations.
  5. Strong computer literacy including Microsoft Excel, Word software.
  6. Good problem solving and analytical skills.
  7. Excellent organizational skills and attention to details.
  8. Strong team player, capable of performing in a fast-paced, deadline-driven environment.
  9. Professional attitude and a customer service focus.
  10. Acceptable competency in oral and written communication.
  11. Ability to independently carry out task and commitments with limited supervision.
  12. Able to work in fast-paced environment with shifting priorities.
  13. Reliable and professional in behavior and appearance.
  14. Experience using UKG and/or any Time and attendance software is preferred.

Essential Duties and Responsibilities:

  • Process payroll and maintain payroll information as required. 
  • Verify timesheet information with employees and supervisors.
  • Prepare payroll deduction, compute payroll adjustments and reconcile insurance and benefit costs and submit to Accounts Payable (AP) for processing.
  • Process terminations, and any employee changes.
  • Enters, maintains, and/or processes information in the payroll system; information may include employee’s hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
  • Maintain payroll files, W-2 Tax forms: employee correspondence, etc.
  • Track and deduct all garnishments and other special payroll deductions.

9.    Process salary changes, update accruals and answer accrual questions as they arise.

10.  Responds to email and telephone inquiries regarding all aspects of payroll.

11.  Facilitates audits by providing records and documentation to auditors.

14.  Maintain confidentiality of all personnel and payroll information.

15.  Maintain, invoice, update, employee payroll deductions, and distribution for employee parking passes for Main Street sites and invoice.

16.  Other duties deemed appropriate and at times selected by the Chief Human Resources Officer.

Physical Requirements:

  • Prolonged periods of sitting at a desk and writing on a computer.
  • Requirements include lifting and carrying objects weighing 10-15 pounds on average.
  • Frequent standing and walking.
