Health Information Systems Analyst II

General Description:  

Under the Health Information Systems & Technology Project Manager, the Health Information (HI) Systems Analyst (II) will serve as the clinical information systems subject matter expert.  This role will support the management and performance of all health information data and health information systems/applications, with a primary focus on Epic electronic medical record. The HI Systems Analyst (II) will serve as the primary contact for all issues and questions related to these systems via the help desk support system and will troubleshoot and resolve or escalate issues as needed. The HI Systems Analyst (II) is responsible for managing all clinical information system functionality and operations, and ensuring safe/secure-use. Under the direction, of the Health Information Systems & Technology Project Manager, this role will also provide training and support to new users as well as ongoing users and ensure standard workflows are developed, adopted and supported. The role also serves as the liaison between the Epic Value-Added Reseller (OCHIN)  and the health center by attending all OCHIN workgroup meetings/trainings, managing communication channels, and testing and disseminating of new functionality.

Minimum Requirements:

  1. High school diploma required; Associate’s Degree or equivalent experience preferred.
  2. Minimum 1 year of relevant medical/health care experience, project management, and/or information management.
  3. Preferred experience with Epic or  other Electronic Medical Record systems
  4. Must have excellent organization, communication and interpersonal skills.
  5. Must have ability to work with teams making use of interpersonal and communication skills to effectively work with all levels of personnel.
  6. Have the ability to persuade, communicate clearly, and cooperate with other team members to achieve overall organizational objectives.
  7. Be comfortable escalating issues identified by customers to the appropriate resources for resolution.
  8. Must be detail oriented in Following up with customers to ensure a satisfactory resolution has been attained.
  9. Should be self-motivated and directed and willing to explore creative training enhancements and solutions.
  10. Must be analytical detailed-oriented, responsible, accountable, and willing to take initiative.
  11. Experience with Microsoft Office products is required.
  12. Must complete Epic OCHIN Site Specialist training within first 3 months of hire.

 Principle Responsibilities and Duties:

  • Review and manage all support communication channels: phone call, ticket systems, email, JIRA, etc.
  • Attend relevant workgroup meetings, committees, and trainings.
  • Triage all end-user support/help tickets using standard protocol.
    • Provide support and troubleshoot issues through resolution, as indicated in protocol.
    • As needed, escalate support requests to other members of the department
  • Produce reports on request
  • Epic Responsibilities:
    • Create new users and update existing user records as needed
    • Create new providers and update existing provider master files as needed
    • Add/modify printers, workstations and order transmittal destination maps using Webtools.
    • Manage preference lists.
    • Create and modify patient letters in OCHIN.
    • Create, modify, and share Smartphrases.
    • Create and manage Smartlists.
    • Manage Lot Manager.
    • Manage Fee Schedule.
    • Support chart correction.
    • Monitor and manage workqueues, overdue results, refill errors, interface errors, eRX, PDMP, Equiscripts.
    • Monitor and manage duplicate patient records.
    • Manage all assigned Continuum release notes and communicate changes as assigned.
    • Manage system downtime following policy and protocol.
    • Provider security reports and analyses as needed.
    • Provide support for all OCHIN-integrated software applications including Welcome and Well.
  • Monitor all workflows and data hygiene to identify training or workflow improvement areas across all systems/applications.
  • Under the direction of leadership, implement trainings for new and existing staff.
    1. Support management of HIEs (PVIX, Care Everywhere) and interfaces (Quest, MIIS, etc.) with HI systems.
    2. Support Records department as needed with scanning/indexing, Smartfiler, OnBase, and any other integration issues.
  1. Participate in special projects and other duties as assigned.
